How to use the Time Card Calculator

  1. Enter clock-in and clock-out times for each workday.
  2. Choose a break option and adjust daily break minutes if needed.

How time card hours are calculated

For each day, worked time equals the minutes between clock-in and clock-out, minus unpaid break minutes. Daily totals are summed for the week. Overnight shifts are supported when clock-out is earlier than clock-in.

How lunch breaks are deducted

Fixed breaks subtract a set number of minutes from the shift. Break start/end mode measures the unpaid window between those times. Empty days are ignored and do not create errors.

How weekly overtime is calculated

After daily hours are totaled, minutes above your weekly overtime threshold (default 40 hours) are counted as overtime. If pay is enabled, overtime minutes use your overtime multiplier.

Time card calculation example

Monday 8:00 AM to 5:00 PM with a 60-minute lunch is 8.00 hours worked. A night shift from 10:00 PM to 6:00 AM with no break is also 8.00 hours. Five 8-hour days total 40.00 hours before overtime.

Decimal hours explanation

Decimal hours convert minutes into a fraction of an hour. 15 minutes is 0.25, 30 minutes is 0.50, and 45 minutes is 0.75. Many payroll systems expect this format instead of hours and minutes.

Frequently asked questions

How do I calculate hours on a time card?

Enter clock-in and clock-out for each day you worked, subtract unpaid break minutes, then add the daily totals. This calculator does that automatically and also shows decimal hours.

Does this calculator support overnight shifts?

Yes. If clock-out is earlier than clock-in, the shift is treated as continuing into the next day. For example, 10:00 PM to 6:00 AM is 8 hours before breaks.

How are lunch breaks deducted?

Choose no break, a fixed break duration (such as 30 minutes), or break start and end times. Break minutes are subtracted from the elapsed shift length for that day.

How is weekly overtime calculated?

By default, hours beyond 40 in the week are treated as overtime. You can change the weekly threshold and overtime multiplier in Add pay calculation. Rules vary by employer and jurisdiction.

What are decimal hours?

Decimal hours express time as a fraction of an hour. 8 hours 30 minutes is 8.50 decimal hours. Payroll systems often use this format.

Is estimated pay official payroll?

No. Estimated pay is a simple gross estimate from your hourly rate and overtime settings. It is not tax, benefits, or legal payroll advice.
